Separate shared and individual expenses
Accommodation and transport may be shared, while lessons and equipment may be charged per person. Create those two columns before dividing a total. This prevents assuming a group booking gives everyone identical individual practice time.
Do not force the same course
People with different abilities may need different formats. Share transfers where practical, but request teaching that fits each person. Buying identical packages to simplify accounts may leave someone repeating content or entering an unsuitable activity.
Record deposits and balances
Name who booked each service and how much each person contributed. Keep the currency and change conditions. If someone leaves the plan, review the supplier agreement before automatically reallocating an amount that may not be recoverable.
Allow individual flexibility
Include possible refreshers or optional activities in each participant’s own budget rather than presenting them as compulsory group costs. Transparent accounts let everyone choose what they need without assuming shared travel means identical sporting progression.
