List participants by ability
Separate complete beginners, people with previous lessons and independent riders. Arriving together does not necessarily make everyone one teaching group. Collect language preferences and availability so the operator can propose realistic staffing and schedules.
Ask about actual capacity
Request the number of instructors, kites in use and turn arrangements. Do not extrapolate a two-person price to a large event without checking delivery. Group size affects waiting time, attention and coordination on the beach.
Plan the waiting periods
Observers need a place outside the equipment setup area, shade and something compatible with the schedule. Distinguish participants from accompanying guests and clarify who coordinates meals or transport. A kite lesson does not automatically include management of the whole event.
Centralise changes
Appoint one contact to receive the proposal and keep everyone informed. Provide a final list and ask how a participant withdrawal or weather change is handled. One confirmed summary reduces conflicting messages and different interpretations of the same booking.
